Thank you for your interest in our company and services. Your data and privacy is very important and we aim to be fully transparent in how your personal information is used. We are exempt from registering with the Freedom of Information Office. However, we understand our responsibilities and your rights under the UK General Data Protection Regulation (UK GDPR). The personal information we collect and why we collect it:

  • Staff administration (including payroll);

We hold the personal information of the people we need to for our staff administration.

  • Accounts or records (ie invoices and payments);

We hold the personal information of the people we need to for our accounts and records – for example information about past, existing or present customers or suppliers. 

The information is restricted to what is necessary for our accounts and records – for example name, address and bank details. It doesn’t include information processed by or obtained from credit reference agencies.

  • Advertising, marketing and public relations (in connection with our own business activity). 

We only hold the personal information of the people we need to for our own advertising, marketing and public relations – for example information about past, existing or present customers or suppliers

The information is restricted to what is necessary for our advertising, marketing and public relations – for example, names, addresses and other identifiers

We only advertise and market our own goods and services

How we get the personal information:

The personal information we process is provided to us directly by you for one of the following reasons:

  • Staff Administration
  • Potential and/or actual clients and customers

We may also receive personal information indirectly when potential clients and customers are recommended through in person or online networking activity.

We use the information that you have given us for business administration purposes and we also keep in touch with past, potential and/or actual clients and customers for our own marketing and public relations purposes.

How we use the personal information:

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are: 

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting the person named above.

(b) We have a contractual obligation.

(c) We have a legal obligation.

(d) We have a vital interest.

(e) We have a legitimate interest

How we store your personal information

Your personal information is primarily stored locally using password protection on our company’s computers. Data is also backed up on password protected cloud servers.

Password protected cloud based accounting software is used for our accounting records and the data can be accessed securely by our Accountants.

A secure password protected file sharing facility is also used to share data with our Accountants.

Email addresses are stored on password protected cloud based software.

From time to time data might be transmitted by email, but password protection is used if deemed appropriate.

From time to time data may also be stored in a physical format, this is always locked in a secure environment or destroyed after use.

We keep personal data for at least 10 years. When removing personal data older than this, we will delete the electronic record held on any computers, cloud servers and back-up servers / devices and destroy any physical records.

Where we dispose of personal data, we will continue to store a log of the disposal for compliance purposes which will record one identifier and the deleted data types only.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access – You have the right to ask us for copies of your personal information. 
  • Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 
  • Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances. 
  • Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances. 
  • Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.
  • Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
